1. Statement of Policy
People are our most important asset. Volunteers play a particularly important role in the work of Celtic Tabletop, and by extension, our event DagdaCon. We recognise that the success of our events and the well-being of our attendees are dependent on the efforts of our volunteers.
This policy outlines our commitment to a fair and transparent process for recruiting volunteers. We are committed to an inclusive and welcoming process that ensures a safe and positive experience for both the volunteer and Celtic Tabletop.
2. Scope
This policy applies to anyone who is a prospective volunteer for Celtic Tabletop and DagdaCon, including those who have been offered and have accepted a position. This policy will be read in conjunction with all other Celtic Tabletop and DagdaCon policies, including but not limited to our Code of Conduct and Equality, Diversity, and Inclusion Policy.
3. Eligibility
Volunteer roles are open to people aged 18 years or over. Volunteers must be legally entitled to reside and work in Ireland.
Garda Vetting: Some volunteer roles at our event may require vetting through the Garda National Vetting Bureau. This will be specified at the time of recruitment, and a volunteer's position may be subject to a satisfactory outcome of this vetting process.
4. Recruitment and Selection
We will recruit volunteers in a fair and transparent manner, ensuring an inclusive process. Our recruitment will be conducted as follows:
Communication: We will advertise volunteer roles clearly on the DagdaCon website, our social media channels, and through a public call-out. The role description will be specific, outlining the responsibilities, required skills, and any Garda vetting requirements.
Application: Applicants will be required to complete a volunteer application form.
Interview/Discussion: We may hold an informal chat or interview with applicants to ensure the role is a good fit for both parties.
Offer: A formal offer will be extended to successful candidates.
5. Confidentiality and Data Protection
We will handle all volunteer data in accordance with our Data Protection Policy. All information provided in the application will be treated as confidential. Access will be limited to the event director and designated members of the event committee, who will use the information solely for the purposes of recruitment, event management, and volunteer coordination.
6. Reference Checks
We may request and obtain references to confirm the suitability of an applicant for a role. This will be done with the applicant's prior consent.
7. Training and Development
We will provide a suitable level of training for all volunteer roles to ensure they are able to carry out their duties safely and effectively. This will include:
A volunteer handbook outlining their role, responsibilities, and key contacts.
A briefing on the event's layout, schedule, and emergency procedures.
Information on our Code of Conduct and Complaints Policy.
A designated supervisor or point of contact for support.
8. Trial Period
A trial period may be set for specific volunteer roles to ensure the arrangement is a good fit for both the volunteer and the organization. The duration of this trial period will be discussed and agreed upon in advance.
9. Support and Supervision
We are committed to providing a supportive environment. Volunteers will be assigned a designated supervisor or point of contact who they can approach with questions or concerns. Any issues that arise will be handled in a fair, open, and efficient manner.
10. Volunteer Agreement
Upon accepting a volunteer role, you will be required to sign a volunteer agreement. This document outlines the mutual expectations of the volunteering relationship, including a clear understanding of the role, hours, and commitment. This is a non-binding agreement.
