1. Policy Statement
Our objective is to take all reasonable and practical steps to ensure a safe environment for all volunteers, vendors, and members of the public who may be affected by our operations. The success of this policy depends on the cooperation of everyone involved. It is recognised that a safe and healthy environment can only be achieved and maintained through collective effort.
2. General Objectives
The convention management has a responsibility for the following:
Provide and maintain safe and healthy conditions taking account of statutory requirements.
Provide training and instruction where necessary to enable staff and volunteers to perform their work safely.
Ensure that all necessary safety devices and protective equipment are used and supervised.
Maintain a work environment free from bullying and harassment of any kind.
Respect the individual dignity of everyone involved in our work, whether they are staff, vendors, or attendees.
3. Assignment of Responsibilities
Overall responsibility for health and safety lies with the Convention Director.
Area Leads are responsible for keeping their respective departments in a clean and tidy condition, maintaining hygiene standards, and using proper facilities for storage.
Every person working on the premises is responsible for ensuring their work area is kept clear of slipping and tripping hazards.
4. Personal Property and Owners Ricks
DagdaCon and the venue management accept no responsibility for any loss or damage to personal belongings brought onto the premises. All property, including gaming equipment, merchandise, and personal items, is brought to the event and left at the owners risk. This remains the case even when items are left in locked event rooms overnight.
Attendees and traders are advised to maintain their own insurance for high value items and to ensure their property is never left unattended in open areas.
5. General Safety Rules
Staff and volunteers must wear all designated protective clothing or uniforms at all times while on duty.
Smoking is forbidden in any areas of the event except in designated smoking areas.
Spillages and breakages must be immediately attended to by the person who caused them or a designated steward.
It is the duty of every person to report any activity or situation which is likely to create a hazard.
All staff are obliged to attend any training courses provided relating to health, safety, and welfare.
6. Risk Assessment and Hazard Control
Risks are classified as High, Medium, or Low depending on the possible worst case consequences.
Access and Egress: Routes must be maintained to a good standard and kept free from trip hazards and obstructions at all times.
Electricity: All electrical sockets, plugs, and leads must be kept in good condition. Overloading sockets and the use of multi point adapters is prohibited.
Fire Safety: All fire exits must be readily openable at all times when anyone is in the building. Clear corridors and walkways must be maintained. Fire drills will be briefed to all staff before the event.
Manual Handling: Lifting and moving loads where there is a risk of injury is to be avoided if possible. Staff should use mechanical handling aids where available.
7. Disease Mitigation and Hygiene
DagdaCon will follow a strategy to minimise the spread of infectious diseases:
Hygiene Practices: Good hand hygiene and respiratory etiquette are mandatory for all workers.
Cleaning: Frequently touched surfaces like table tops, desks, and door handles must be included in a regular cleaning plan. These surfaces should be cleaned at least twice a day.
Suspected Cases: A response plan will be in place for managing suspected on site cases of illness. This includes providing information to health authorities if requested and maintaining contact logs to identify possible contamination risks.
Communications: Management will provide up to date reliable information to staff, suppliers, and attendees regarding safety procedures.
8. Vendors
All vendors must be covered by public liability insurance and must liaise with the Convention Committee before starting work on the premises. Vendors must leave their work areas in a clean and tidy state upon completion.
